Getting an NIE is rarely difficult on paper. What makes people lose weeks is the appointment: the cita previa. Slots vanish within minutes in the busiest provinces, the booking portal is only in Spanish, and a single mistake in your file sends you back to the start of the queue.

This guide walks through the whole procedure in the order you will actually live it: choosing your route, preparing the file, booking the cita previa, and what happens on the day. If you are looking for what the number itself is and what it lets you do, start with what an NIE number is.

Which of the three routes applies to you

Before booking anything, decide how you are going to file. The route determines the paperwork, the waiting time and whether you need to be in Spain at all.

• At a Policía Nacional station in Spain. The fastest route if you are already on site. Realistic total: 2 to 6 weeks from booking the cita previa, and the NIE is often handed over on the day of the appointment.
• At a Spanish consulate in your country. No travel needed, but the slowest option. The appointment alone can take 4 to 8 weeks, and the full process usually runs 6 to 12 weeks.
• Through a gestoría with a power of attorney. You never travel. Counting the notarised power of attorney and its apostille, the realistic total is 3 to 6 weeks, and it is the most predictable of the three.

What to prepare before you touch the booking portal

Do not book first and gather documents later. The appointment is single use: if your file is incomplete on the day, the slot is lost and you start again.

The four documents everyone needs

• Modelo EX-15, the NIE application form, completed in Spanish and signed.
• Your passport or national ID, original plus a photocopy of the identity page.
• Modelo 790 código 012, the fee form, completed and paid. The fee is 9,84 euros.
• Proof of your motive. A signed sale agreement, an employment contract, a university enrolment letter, a notarial power of attorney. Without it, the application can be refused outright.

The motive is what gets people refused

Spanish law requires an economic, professional or social reason for allocating an NIE. "I might buy a property one day" is not a reason. A dated document naming you is. This single point causes more refusals than any formatting error on the form.

Booking the cita previa, step by step

Appointments for the NIE are booked through the electronic office of the Spanish public administration, not at the police station itself. Turning up without an appointment does not work.

• Choose the province where you want to file. This is the single most important choice, and it is explained below.
• Choose the procedure covering NIE assignment and certificates, not the one for residence cards. Picking the wrong procedure means being turned away on the day.
• Enter your passport number, your full name and your nationality exactly as they appear on your passport.
• Pick a station and a slot, then confirm. Keep the confirmation, printed or on your phone.

The portal is in Spanish only, and the confirmation email is too. If you are not comfortable in Spanish, have someone read the confirmation with you: it states the office address, which is not always the station you expected.

Why slots disappear, and how to find one anyway

This is the real bottleneck. Understanding it saves more time than anything else in this guide.

Province matters more than city

In Madrid, Barcelona and parts of the Costa del Sol such as Málaga and Marbella, stations are saturated and the wait for a cita previa reaches 4 to 6 weeks. In mid-size provinces the same appointment can be available within days. If you are able to travel inside Spain, booking in a quieter province is the fastest legal shortcut there is.

The portal lets you search several stations

Within one province you can usually check the availability of several offices rather than just the nearest one. People book the first station on the list and stop there, which is exactly why the others still have slots.

Season changes everything

July, August and September are the worst months: Spaniards return from holiday, foreign students arrive for the university year, and the end-of-summer property wave lands at the same time. If your project allows it, filing outside that window materially shortens the wait.

A word on appointment resellers

Sites that resell cita previa slots exist. They are not an official channel, the appointment can be cancelled, and you have no recourse if it is. Changing province or mandating a gestoría are the two reliable ways of moving faster.

What happens on the day of the appointment

Arrive early with originals and photocopies of everything. Staff generally do not conduct the appointment in English, so if your Spanish is limited, bring someone who speaks it.

• Your documents are checked and the EX-15 is stamped.
• The proof of payment of the modelo 790 código 012 is verified. Without the stamped proof, the file is not processed.
• For EU and EEA nationals, the NIE is typically issued in less than two weeks after the appointment, and often the same day.
• You leave with a resolution document showing your NIE. Photograph it immediately and store the paper somewhere safe.

If you cannot get an appointment at all

When no slot appears in your province and the deadline is closing in, there are three realistic options.

• Widen the search. Another province, another station, or a different time of day when new slots are released.
• Go through the consulate in your country of residence, accepting the longer timeline.
• Sign a power of attorney and let a gestoría file for you. The power of attorney plus apostille usually takes 1 to 2 weeks in your own country, after which the filing is handled without you.

The mistakes that cost an appointment

• Booking the procedure for residence cards instead of NIE assignment.
• A name or passport number that does not match the passport exactly.
• Paying the tasa but bringing no stamped proof of payment.
• Arriving with a motive that is only verbal, with no dated document.
• Assuming the NIE gives residency or tax residency. It gives neither, as explained in the impact of your NIE on your tax status.

Where to start today

If you are in Spain and your deadline is comfortable, gather the four documents, then look for a cita previa in a mid-size province rather than a capital. If you are abroad, or if your deadline is under six weeks, the power of attorney route removes the appointment problem entirely because the gestoría handles the booking.
